Deep dive into how you communicate
Analytics shows how your organisation uses Sedna. It lays out your organisation’s secure data in a clear and filterable way - providing insights into how you communicate within teams, across teams and around specific jobs.
Who can use it?
This feature is available within Pro and Enterprise tenants to those with the Analytics User Role. This role can be assigned by IT Support users - who are automatically granted this permission.
How can an IT User assign the Analytics User Role?
The Analytics Role is a User Role found under "Roles" within a user profile, in Manage Users Section.
1. Navigate to User Settings by clicking on your name in the bottom left-hand corner
2. Select "Manager Users"
3. Select any User Profile
4. Click on "Roles" Tab
5. Toggle "Analytics" to enable the Analytics Role
Navigating Analytics
When Analytics is enabled for a user, it will be visible in the sidebar:
Analytics is composed of four reports, which can each be sorted and filtered to provide different insights into how your teams work.
Report 1: Performance
In the Performance Report, you can see how long it takes emails to be read and responded to per Team or Job Tag. The key data presented is:
- Median read time: Median time it takes the first user to read a Team Inbox email
- Median response time: Median time it takes the first user to reply to a Team Inbox email
There are several ways you can customize the Data view to reveal insights about how your Teams work:
Filters:
- Category: View performance data for each of your organization’s Team Inboxes, or each Job Tag.
- Date: Select a custom date range for the data presented in the Report.
- Addressed as: By default, data will include messages addressed directly ‘To’ a recipient and any who were CC’d or BCC’d. You can change this by filtering just for ‘To’, or just for ‘CC/BCC’ only.
Sorting: In the ‘Sort by’ selection, you can customize how you view the ranked data:
- Read time: View data from highest to lowest Read time.
- Response time: View data from highest to lowest Response time.
- Alphabetical: View the Team Inboxes or Job Tags in alphabetical order, so you can easily the data you are most interested in.
Report 2: Email volume
In the Email volume Report, you can see the volume of incoming emails and outgoing emails per Team or Job Tag. Importantly, it counts the number of distinct emails - meaning if one email goes to more than one Team Inbox, it counts towards each team that received it, but only once against the total.
There are several ways you can customize the data view to reveal insights about how your work:
Filters:
- Category: View volume data for each of your organization’s Team Inboxes, or each Job Tag.
- Date: Select a custom date range for the data presented in the Report.
- Email from/to:
- All: View data that includes both external addresses and users internal to your organization that aren’t using Sedna.
- External: View data that only includes external addresses.
- Internal outside of Sedna: View data that includes only recipients internal to your organisation (based on domain name) that aren’t using Sedna.
- For a company called Sedna Shipping with @SednaShipping.com as the domain name, this data will only include recipients with the domain @SednaShipping.com as opposed to @sedna.com
Sorting:
- Inbound volume: View data from highest to lowest inbound email volume.
- Outbound volume: View data from highest to lowest outbound email volume.
- Alphabetical: View the Team Inboxes or Job Tags in alphabetical order.
Report 3: Internal activity
The Internal activity Report gives you insights into how your organisation is collaborating within Sedna by sharing messages or commenting in the Activity Panel. It also highlights which teams are sending messages to recipients internal to your organisation (based on domain name) who aren’t using Sedna. The key data presented includes:
- Internal sends: The count of emails sent from a Team Inbox to recipients in the same organization who don't use Sedna.
- Shares: The number of times emails in a Team Inbox have been shared.
- Comments: The count of Comments made on messages in a Team Inbox.
Filters:
- In this Report, you can only view data by Team Inbox.
- Date: Select a custom date range for the data presented in the Report.
Sorting:
- Internal sends: View data from highest to lowest; of the count of emails sent from a Team Inbox to recipients in the same organisation who don't use Sedna.
- Shares: View data from highest to lowest; the count of messages that have been shared in a Team Inbox.
- Comments: View data from highest to lowest; of the count of Comments made on messages in a Team inbox.
- Alphabetical: View the Team Inboxes in alphabetical order.
Report 4: Tagging events
The Tagging Events Report allows you to see the number of times a Tag is automatically added, manually added or manually removed from messages across the organization.
There are several ways you can customize the data view to reveal insights about how your work:
Filters:
- Category: View tagging data for each Job Tag or Category Tag.
- Date: Select a custom date range for the data presented in the Report.
Sorting:
- Automatically added: View data from highest to lowest; of the number of times a Tag was automatically added to messages.
- Manually added: View data from highest to lowest; of the number of times a Tag was manually added to messages by a user.
- Removed: View data from highest to lowest; of the number of times a Tag was manually removed from messages by a user.
- Alphabetical: View the Job Tags or Category Tags in alphabetical order.
Chart/Table view
For any of the four Reports, Analytics data can be viewed as a chart or a table, changeable with the icons in the top right corner of each Report.
Extract: When you want to further analyze or present your organization’s Sedna Analytics data, you can easily download it as a CSV file using the button in the top right.
How often does the data sync in Sedna?
- Data renews on a daily basis and the last updated time is visible in the top right of the analytics interface!

Is there an Analytics API? | We are exploring ways in which we can extend our Analytics offering and provide closer integration into our customers' data stack. Please let your Customer Success Manager know if you're curious about this. |
Can we clarify in Analytics who is included in each listed team? (Those who have them as their default team) | In the Performance Report, the median read and response times measure the time taken for any user, regardless of team assignment, to read or reply to a message that is visible to the given team. |
How far back can we go back into data? | It's possible to go back as far as 01st January 2020 in the "From Date" picker. |
Why can't I see user or Solo Inbox data in Analytics? | The first version of Sedna Analytics focuses on team performance. If this type of data is of interest to you, please reach out to your Customer Success Manager to discuss your requirements in more detail |
Is there a limit to the number of teams / Job Tags that I can view in Analytics? | By default, the reports will return a maximum of 100 results, though it's possible to load the entire data set by clicking the "View All" button at the bottom of the charts. (Please note that this may affect the performance of the reports with larger data sets). |
Why is a team missing from the Analytics view? | Teams that have no data for the date range you are viewing in Analytics will be excluded from the data set. We suggest you update your date range to increase the likelihood that the team has sent/received messages within your data set. |
When I download the report into a CSV and sum up the team level data, it doesn’t match the total figure in the Analytics report - why is that? | Some reports, such as email volume or internal activity, will record a single message count per team, allowing you to see the exact volumes of content that a team is dealing with. The total counters will take the count of unique messages to give a top-line figure. You can hover over the information tooltips throughout the reports for an explanation on how each datapoint is calculated. |
