Understand how to use Tags and filters to segment your messages, reduce noise, and surface what matters.
▶️ Watch: Organise Your Inbox
Why It Matters
If Triage is about clearing the clutter, Organise is about putting everything in its place. By grouping messages into meaningful categories, you'll spend less time searching and more time doing. Sedna replaces folders with a smart, flexible tagging system that are built for teams, not silos.
Five Types of Tags
| Tag Type | What It’s For |
|---|---|
| Group emails by business transaction (e.g. voyage, port call, shipment). | |
| Automatically applied with Job Tags to group by shared asset (e.g. vessel). | |
| Mark workflow stages (e.g. ‘Approval Needed’, ‘Freight Invoice’). | |
| Draw attention by tagging yourself or a teammate. | |
| Personal, custom tags visible only to you—perfect for reminders or sensitive info. |
How Sedna Tags Automatically
Sedna uses Auto-tagging to save you time and ensure consistency:
-
Reply-Based Tagging
If you reply to a message that was received and tagged in Sedna, your reply will carry the same Job Tag. -
Coded Auto Taggers
Based on custom rules defined by your team, such as information in subject lines or comparing data in your system of record. These use strict logic, not AI or body text scanning. -
Workflows
Configured in Sedna to apply Job, Category, or Person Tags based on broader workflows and predefined triggers.
Auto-tagging in Sedna applies only to messages received in the system. Outbound messages – the ones you send – need to be tagged manually before sending.
This is an intentional design choice. Why?
No system knows the context of your message better than you do.Whether you’re assigning a Job Tag, highlighting a workflow stage, or flagging a message for a teammate, you are best placed to decide what’s relevant. Sedna isn’t trying to do your job for you – it’s here to make it easier by handling the predictable stuff and leaving you in control of the rest.
That said, we know manual tagging on outbound messages can be a step you forget or skip – and we’re actively exploring ways to improve this process in the future.
Tag Manually When Needed
Auto-tagging handles a lot, but you’ll sometimes need to take control. Follow this guide, or the following steps:
- Open a message, click the Tag icon, and select the appropriate tags.
- Apply multiple tags if the message spans multiple categories or contexts.
Try It Now
These quick tasks will help you build habits around organisation:
- Add a Category Tag to mark workflow context.
- Mark a Job Tag as Important to surface a key transaction.
- Create a Private Tag for personal tracking and visibility.
