Take control of who sends from your team mailboxes
Disable User Sending gives IT Admins precise control over email sending permissions, letting you grant a user access to a shared team mailbox without allowing them to send, reply, or forward from it.
Control of this feature lives in Settings, under both User Management and Team Management, and can also be managed programmatically via the Sedna API. Changes take effect at the individual user–team level, leaving all other users and mailboxes unaffected.
💡 Note: This feature is available for customers on Sedna’s Enterprise tier. If you don't see the sending toggle in your settings, contact your account team to confirm whether it's included in your plan.
When to Use This Feature
Use this feature if you:
- Need to give compliance or audit users visibility into a shared team mailbox without allowing them to send email from it
- Manage cross-team visibility scenarios where users need access to another team's inbox for coordination, but should not send on behalf of that team
- Are handling a regulatory or risk requirement to restrict outbound communications from specific users in specific shared mailboxes
This feature may be less relevant if:
- You need to disable sending for an entire team or mailbox — use the existing team-level disable send setting for that
- The mailbox in question is a user's default team or solo inbox — sending cannot be disabled for those
Step-by-Step Instructions for Disabling User Send
Open Settings
Click your name in the bottom-left corner of Sedna to open the settings. From here you can select Manage Users or Manage Teams — both routes lead to the same underlying setting.
Option 1: Manage sending permissions via User Management
Select Users from the Settings menu, then select the user profile you want to update.
Navigate to the Teams tab to see a table of all teams that user has access to, including their current sending status for each.
Click the Manage Teams icon to open the edit panel, then use the toggle next to each team name to enable or disable sending from that team for this user.
Option 2: Manage sending permissions via Team Management
Alternatively, select Teams and solo inboxes from the Settings menu, then select the team you want to update.
Navigate to the Users tab to see all users with access to that team and their current sending permissions.
Click the Manage Users icon to open the edit panel, then toggle sending on or off for each user as needed.
Confirm the change
Once you save the change, the user's sending permission for that team is updated.
💡 Note: If the user is currently active in Sedna, they may need to refresh their session or log out and back in for the change to take effect.
Understanding what the user sees
When a user has sending disabled for a team, the Send button in the composer is visible but greyed out and cannot be clicked. A tooltip explains why sending is unavailable for that team. The team remains available in the team selector dropdown for viewing and triaging messages — only outbound actions (send, reply, forward) are blocked. The user can still comment, archive, and tag messages as normal.
Manage permissions via API (optional)
If your organisation manages team memberships programmatically, sending permissions can also be set via the Sedna API. Use the disableSend attribute when creating or updating a user–team relationship, or use the dedicated /disable-send-teams and /disable-send-users endpoints to bulk-update permissions by user or by team.
