Within SEDNA, you have the ability to apply different tags to each message. The different types of tags that you can apply are:
- People Tag
- Category Tag
- Team Tag
- Job Reference Tag
People Tag
Users can assign a project to a Person or Team to ensure it receives proper attention. Purple Tags denote a person's name that has been tagged for their attention.
- To tag yourself in a message, "Follow" the message by clicking the flag icon(
)
- To tag someone else, follow the steps below:
- Click into the Message you would like to tag.
- Expand the Tags pane by clicking the arrow on the top right of the screen.
- Scroll down to the People Tags section and select the person or people you wish to tag. Alternatively, use the Search Bar at the bottom of the Tags pane to find the person or people you wish to tag. Those tagged will show up at the top of the Tags pane under the Selected People heading.
- If the person or people tagged have their notifications enabled, they will receive a notification that you tagged them in a Message or Note.
Note: A person must be on a team with permission to view the message in order to see the tag. Tagging a person does not grant them visibility to the message automatically.
Category Tag
Users can add more context to a message by including tags that apply to a specific category of the project. This allows users to organize projects based on their subject matter. Blue Tags denote a team or topic relevant to the Message.
Note: To learn about adding category tags to a favourites list, visit the article here.
To tag a Category, follow the steps below:
-
- Click into the Message or Note you would like to Tag.
- Expand the Tags pane by clicking the arrow on the right of the screen.
- Scroll down to the Category Tags section and select the Category you wish to tag. Alternatively, use the Search Bar at the bottom of the Tags pane to find the Category you wish to tag. The Categories tagged will show up at the top of the Tags pane under the Selected Categories heading.
Auto-Tag Categories for Replies
SEDNA provides the option to enable an auto-tag feature to auto-tag replies you receive with the same category tags from the previous message in that thread. This auto-tagger can be applied to individual teams and run in parallel with an existing Job Reference auto-tagger. This saves users time spent organizing content and provides another valuable auto-tagging option in SEDNA. To enable this feature, please contact customer.support@sedna.com or your Customer Success Manager.
Team Tag
Users can tag an entire Team using the Note feature. Similarly to People, Team tags use Purple Tags to denote a team's name you want to tag for their attention.
- To tag a Team, follow the steps below:
- Click into the Note you would like to tag.
- Expand the Tags pane using the arrow on the top left of the screen.
- Use the Search bar at the bottom of the Tags pane to find the Team you would like to tag. Alternatively, the Team you wish to tag may be auto-generated in the Suggested list. The names of the members of the Teams tagged will show up at the top of the Tags pane under the Selected heading.
Note: Tagging Teams is only available using Notes, and is not available at this time when using a Message.
Job Reference Tag
It is important to develop an overarching "Job Reference" to tag Messages for a project. For an Operator or Agent, this could be the "Job Reference" that is generated from your Voyage Management System (VMS). With SEDNA, our integration with a Port Call or VMS, like Veslink IMOS platform, means that when you create the job reference in your VMS it is automatically populated into SEDNA. Green Tags denote that the Job Reference has been generated by the VMS or Job Reference Manager.
- To tag a Job Reference, please follow the steps below:
- Click into the Message or Note you would like to Tag.
- Expand the Tags pane by clicking the arrow on the right of the screen.
- Scroll down to the Job Reference Tags section and select the Job Reference you wish to tag. Alternatively, use the Search Bar at the bottom of the Tags pane to find the Job Reference you wish to tag. The Job Reference tagged will show up at the top of the Tags pane under the Selected Job References heading.
Note: For a broker or charter, the “Job Reference” you associate to a bid could be any unique identifier to reference, such as a voyage, vessel, a trade, an inspection, or a port call. Select a term that you would use to track as a type of “Job Reference” so that when complete, you can use this to assemble the necessary email and content to provide as a recap. To manually create a Job Reference, please refer to the Job Reference Manager.
Managing Tags:
- People Tags - Automatically created upon user creation.
- Category and Team Tags - Can only be created by using the Category or Team Tags API. Please reach out to support@sedna.com and we can create the tags for you, or supply you with the API documentation if you are comfortable with doing so yourself.
- Job Reference Tags - Can be managed using the Job Reference Manager.
