π‘ This article walks through job tag templates and the new job tag management functionality, released Fall 2026. If you are looking for guidance on how to create job tags from the Connected App Job Managers, please see:
Job tag templates: standardised job tags, created in seconds, right where you work
Sedna Emailβs new job tag management experience lets your team seamlessly create, edit, and merge the job tags you use to track business transactions, such as voyages, cargoes, or port calls. IT Support users build job tag templates β previously called job managers β that define the fields each tag captures, how it's named, and who can use it, so every tag follows the same structure.
You'll find it under Settings β Manage Job Tags, where Templates and job tags sit in separate tabs of the same view. You can also create, edit, and merge job tags from the tag panel on any message.
π‘ Note: Job Tag Management is included for all Sedna Email customers and is rolling out in phases. If you don't yet see Manage Job Tags in your Settings, contact your Sedna account team.
When to use this feature
Use this feature if you:
- Create job tags for new transactions (ex. voyages, vessels, cargoes, port calls, fixtures) as work comes in and want to do it straight from the message
- Need to merge a manual job tag into the final integration-created job tag once a transaction is confirmed in your system of record
- Are an IT Support user who wants to define or update job tag structures for your team without raising a request to Sedna
- Manage a multi-team organisation where different teams need different tagging structures, for example voyages for Operations and vessels for Technical
- Need consistent tagging so auto-tagging and reporting stay accurate
For End users: Creating, editing & merging job tags
Any user with access to a template can create job tags from it. Your IT Admin controls which templates you can use.
Creating a job tag
-
Open the job tag template
From a message: In the tag panel, click + Job tags, then + Create. Alternatively, press Shift+J while viewing the message. A job tag created from a message is applied to that message automatically.
From Settings: Click your name in the bottom-left corner, select Manage job tags, then click + Add new job tag.
-
Choose a template and fill in the attributes
Select the template you need, for example Port Call, and enter a value for each field. Date fields use a date picker. The form is fully keyboard-navigable, so you can complete it without touching the mouse.
-
Confirm teams and mark as Important
The template's default teams are pre-selected β add or remove teams for this tag if needed. Optionally, mark the tag as Important for you or your colleagues.
-
Save the job tag
Save the tag. Its name is generated automatically from the template's name format, and it's immediately available to apply to messages.
Editing a job tag
You can update a tag's attribute values, and its name updates automatically to match. You can also fill in attributes that were previously left blank.
From a message: Click + Job tags, hover over the job tag, and click the pencil icon.
From Settings: Click your name in the bottom-left corner, select Manage job tags, click the job tag, then click Edit in the top-right corner.
Note: For job tags created through an integration with a system of record you will not be able to edit the attributes, but you will be able to mark job tags as Important for other users.
Merging two job tags
Merging combines two tags into one. The primary tag is kept; the secondary tag is permanently deleted, and every message with the secondary tag is re-tagged with the primary tag. A common use is merging a pre-fixture tag into the final voyage tag once a vessel is fixed.
From a message: Apply both job tags to the message, click + Job tags, then Merge. Choose the primary and secondary tags, then confirm.
From Settings: Click your name in the bottom-left corner, select Manage job tags, click one of the job tags you want to merge, then click Merge in the top-right corner.
IT Support Actions: creating job tag templates & job tag deletion
Creating a job tag template
Job tag templates define the attributes, name format, and team access for each type of job tag. Only users with the IT Support role can create or edit templates, and templates can only be set up on web.
-
Open Templates
Go to Settings β Manage Job Tags β Templates.
-
Start a new template
Click Create Template. Choose a standard preset β voyage, vessel, or broker fixture β if it covers your use case, or select build your own for a custom structure. Name the template after its use case, for example "Port Call".
-
Add attributes and set field types
Add one attribute per field you want to capture, for example Vessel Name, Appointment ID, and Port, entering each name in Proper Case.
Set each attribute's field type to free text or date picker, whether it's required, and its maximum character length. Job tag names can be a maximum of 50 characters.
-
Set the name format
Choose which attributes appear in the tag name and the order attributes in which they appear. You can also add a standard prefix or suffix to the job tag names, such as βPREFIXβ to identify manual job tags. Finally, choose the separator between them (hyphen or slash) and if you would like all attributes to be normalised to uppercase (recommended).
A live preview updates as you build, so you can check it matches your naming convention before saving.
-
Set access and default teams
Choose whether all users can create job tags from this template, or only specific users or teams. If you select available to all teams, you don't need to set default teams. Otherwise, choose the team(s) that are pre-selected when a user creates a tag from this template β users can still add or remove teams on an individual tag.
-
Save the template
Click Create Template. Editing or deleting a template later doesn't affect job tags already created from it.
Deleting a job tag
IT Support users now have the ability to delete job tags in the platform, rather than via API or contacting Sedna Support. To do so, navigate to Manage job tags in the bottom left corner, then search for the job tag to be deleted. Please note that deleting a job tag is permanent and cannot be undone.
Troubleshooting & Common Questions
| Question | Answer |
|---|---|
| Who can create or edit job tag templates? | Only users with the IT Support role. All users can create job tags from templates they have access to. |
| Why can't I see a template when creating a job tag? | Your IT Admin controls which users and teams can use each template. Ask them to give you access. |
| Why can't I create a job tag with the same name as an existing one? | Sedna blocks duplicate job tag names to keep tagging consistent. Use or edit the existing tag instead. |
| Can I add or remove fields on a job tag? | No. You can edit attribute values, but the fields themselves are set by the template, which your IT Admin manages. |
| Will changing a template update job tags already created from it? | No. Existing tags keep their data when a template is edited or deleted. |
| Can I delete a job tag? | IT Support users can delete job tags. Please note that this is permanent and cannot be undone |
| Will my existing job managers move over automatically? | Yes, your existing job managers will be created as job tag templates and then the existing job managers will be removed (timing TBD) |
| Can I still ask Sedna to build or update a template for me? | Yes. Raise a support ticket if you'd like help building or adjusting a template. |
| Which attribute creates the vessel's asset tag? | The Vessel Name attribute. If you need a different label for that field, create it as Vessel Name, save the template, then edit the attribute's display name. |
| Does this affect auto-tagging? | Auto-tagging is configured separately. Please work with your Implementation or CS team to ensure auto-tagging is configuring appropriately for your teams. |
| Can I create job tags on mobile? | Yes. You can create job tags on web and mobile. Templates can only be set up on web. |
Best Practices & Tips
- Check whether a standard template (voyage, vessel, broker fixture) covers your use case before building a custom one
- Use the live preview to confirm your naming convention before saving a template β existing tags won't change if you update the format later
- Set default teams on each template so users don't have to select them every time they create a tag
- Use Shift+J and keyboard navigation to create tags without leaving the message
- Merge manually created tags into the final integration created tags as soon as a job tag is created by your system of record to keep message history in one place
- Contact your IT Admin if you need a new template or access to an existing one
Key Benefits
- Self-serve setup β Create and edit job tag templates directly, without raising a request to Sedna
- Faster tag creation β Create, edit, and merge job tags from the tag panel on a message or from Settings
- More control β Templates define attributes, the generated name format, and which teams have access by default
- Consistency β Standardised attributes support more accurate auto-tagging
