Add up to 500 users or team mailboxes at a time from a single CSV file
CSV import lets you create users and team mailboxes in bulk instead of adding them one at a time. It's the quickest way to set up a new office or desk in Sedna.
You import from the Users and Teams lists in Admin Centre. Users and teams are imported separately, each with its own template.
💡 Note: You can download the latest template for each import directly from Admin Centre by clicking Example template. Only users with the IT Support role can import.
When to Use This Feature
Use this feature if you:
- Are onboarding a new office, desk or company with many users.
- Need to set up many team or solo inboxes at once, for example one per trade or operations desk.
- Are moving users into Sedna from another email system.
This feature may be less relevant if:
- You're adding one or two users. Creating them individually or via a profile may be faster.
- You want to change roles or teams for existing users. Use Bulk Actions instead.
Step-by-Step Instructions
1. Download the template
Go to Admin Centre → Users (or Teams) and click Import. Click Example template to download a CSV in the correct format.
You can also download the user import template & team import template here.
Fill in one row per user or team. Each file can contain up to 500 rows and be up to 10MB. Include only the columns you need; the review step shows the columns your file contains.
2. Fill in the template

3. Upload your file
Drag and drop your CSV into the upload area, or click Choose a file. Once the file has uploaded, click Next.
If the file is rejected (for example, "File size too large"), delete it and upload a corrected version.
4. Review and import
Check the rows extracted from your file, then click Import. When the import completes, you see a confirmation such as "Imported 20 users". Click Done.
Imports are all-or-nothing. If any row has an error, nothing is imported and a message asks you to check your file. Click Back, correct the file and upload it again.
Troubleshooting & Common Questions
| Question | Answer |
| My import failed. Was anything imported? | No. If any row has an error, the whole import is cancelled. Click Back, correct the file and upload it again. |
| Can I fix errors in the review step? | No. Rows can't be edited during an import, so correct the CSV file and upload it again. |
| How many rows can I import at once? | Up to 500 rows per file, with a maximum file size of 10MB. Split larger lists into several files. |
| My file was rejected with "File size too large". | Files can be up to 10MB. Delete the file, reduce its size and upload it again. |
| Do I need to fill in every column? | No. Include only the columns you need. |
| Can I import users and teams in the same file? | No. Users and teams are imported separately, each from its own template. |
| Do my users need an email address in the file? | Only if your organisation signs in with SSO. |
Best Practices & Tips
- Download a fresh Example template each time rather than reusing an old file.
- Make sure team names in your users file match the team names in Sedna exactly.
- Test with a small file of a few rows before importing a full set.
