The following steps are intended for users with IT permissions. Archiving may be used when a user has left an organization or no longer needs SEDNA. Once a user has been archived, they can be activated again by following the same steps and selecting activate.
Important: Archiving a User will Immediately disable access
Steps to Archive a User
- Select your name in the bottom-left of SEDNA and choose Manage Users.
- Look through the user list and click on the username of the user being archived.
- Click archive in the lower lefthand corner.
What happens once a user is archived
1) @mentioning an archived user in comments
- The user will no longer appear in the @mention results.
2) Searching for their Important Token (via the main Search Bar)
- The Important Token remains searchable, which is intentional.
- Allows colleagues covering for leavers to easily surface emails that were previously marked as important by that user.
3) Searching for their Person Tag (Search Bar vs Tags Panel)
- Person Tag remains searchable in the Search Bar (same rationale as above).
- Person Tag will no longer appear in the Tags Panel, ensuring that only active users are tagged on emails.
4) Sharing a message with them
- In practice, this is prevented by also archiving the userโs Solo Inbox, which I know youโre already doing as part of your process ๐
5) If I have archived them, will sent or received messages be available if I need to investigate a compliance or business issue?
- Yes, All the emails they received or sent will be still available
