💡 This article covers creating, editing and merging job tags with the job tag management functionality released Fall 2026.
Sedna Email's job tag management experience lets you create, edit and merge the job tags you use to track business transactions, such as voyages, cargoes or port calls. Every tag is built from a job tag template set up by your IT Support team, so your tags follow the same structure as everyone else's.
You can create, edit and merge job tags from the tag panel on any message, or from Manage Job Tags in Settings.
💡 Note: Job Tag Management is included for all Sedna Email customers and is rolling out in phases. If you don't yet see Manage Job Tags in your Settings, contact your Sedna account team.
When to Use This Feature
Use this feature if you:
- Create job tags for new transactions (for example voyages, vessels, cargoes, port calls or fixtures) as work comes in and want to do it straight from the message
- Need to merge a manual job tag into the final integration-created job tag once a transaction is confirmed in your system of record
- Need consistent tagging so auto-tagging and reporting stay accurate
This feature may be less relevant if:
- You need to change which fields a job tag captures. Fields are set by the template, which your IT Support team manages.
- Your job tags are created through an integration with your system of record. You can't edit the attributes of these tags.
Step-by-Step Instructions
Any user with access to a template can create job tags from it. Your IT Support team controls which templates you can use.
Creating a new job tag
1. Open the job tag form
Option 1: From a message
In the tag panel, click + Job tags, then + Create. Alternatively, press Shift+J while viewing the message. A job tag created from a message is applied to that message automatically.
Option 2: From Settings
Click your name in the bottom-left corner, select Manage job tags, then click + Create job tag.
2. Choose a template and fill in the attributes
Select the template you need, for example Port Call, and enter a value for each field. Date fields use a date picker. The form is fully keyboard-navigable, so you can complete it without the mouse.
3. Confirm teams and mark as Important
The template's default teams are pre-selected. Add or remove teams for this tag if needed. Optionally, mark the tag as Important for you or your colleagues.
4. Save the job tag
Save the tag. Its name is generated automatically from the template's name format, and it's immediately available to apply to messages.
Editing a job tag
You can update a tag's attribute values, and its name updates automatically to match. You can also fill in attributes that were previously left blank.
Option 1: From a message
Click + Job tags, hover over the job tag, and click the pencil icon.
Option 2: From Settings
Click your name in the bottom-left corner, select Manage job tags, click the job tag, then click Edit in the top-right corner.
Note: You can't edit the attributes of job tags created through an integration with your system of record, but you can mark them as Important for other users.
Merging job tags
Merging combines two tags into one. The primary tag is kept; the secondary tag is permanently deleted, and every message with the secondary tag is re-tagged with the primary tag. A common use is merging a pre-fixture tag into the final voyage tag once a vessel is fixed.
Option 1: From a message
Apply both job tags to the message, click + Job tags, then Merge. Choose the primary and secondary tags, then confirm.
Option 2: From Settings
Click your name in the bottom-left corner, select Manage job tags, click one of the job tags you want to merge, then click Merge in the top-right corner.
Troubleshooting & Common Questions
| Question | Answer |
| Why can't I see a template when creating a job tag? | Your IT Support team controls which users and teams can use each template. Ask them to give you access. |
| Why can't I create a job tag with the same name as an existing one? | Sedna blocks duplicate job tag names to keep tagging consistent. Use or edit the existing tag instead. |
| Can I add or remove fields on a job tag? | No. You can edit attribute values, but the fields themselves are set by the template, which your IT Support team manages. |
| Why can't I edit the attributes of a job tag? | Job tags created through an integration with your system of record can't be edited, but you can still mark them as Important for other users. |
| Can I delete a job tag? | Only IT Support users can delete job tags. Deleting a job tag is permanent and cannot be undone. |
| What happens to messages when I merge two job tags? | Every message with the secondary tag is re-tagged with the primary tag, and the secondary tag is permanently deleted. |
| Can I create job tags on mobile? | Yes. You can create job tags on web and mobile. |
| Does this affect auto-tagging? | Auto-tagging is configured separately. Work with your Implementation or CS team to make sure auto-tagging is configured appropriately for your teams. |
Best Practices & Tips
- Use Shift+J and keyboard navigation to create tags without leaving the message
- Merge manually created tags into the final integration-created tags as soon as your system of record creates them, to keep message history in one place
- Contact your IT Support team if you need a new template or access to an existing one
Key Benefits
- Faster tag creation: Create, edit and merge job tags from the tag panel on a message or from Settings
- Consistency: Every tag follows its template's structure and naming, which supports more accurate auto-tagging
