Job tag templates, previously called job managers, define the fields each job tag captures, how it's named, and who can use it, so every tag your team creates follows the same structure. IT Support users can now build and edit templates and delete job tags directly in Sedna, without raising a request to Sedna.
You'll find templates under Settings → Manage Job Tags, where Job tag templates and job tags sit in separate tabs of the same view.
💡 Note: Only users with the IT Support role can create or edit templates and delete job tags, and templates can only be set up on web. Job Tag Management is included for all Sedna Email customers and is rolling out in phases. If you don't yet see Manage Job Tags in your Settings, contact your Sedna account team.
When to Use This Feature
Use this feature if you:
- Are an IT Support user who wants to define or update job tag structures for your team without raising a request to Sedna
- Manage a multi-team organisation where different teams need different tagging structures, for example voyages for Operations and vessels for Technical
- Need consistent job tag naming so auto-tagging and reporting stay accurate
- Need to remove a job tag that's no longer required
This feature may be less relevant if:
- You don't have the IT Support role. You can still create, edit and merge job tags from templates you have access to.
- You want to change auto-tagging behaviour. Auto-tagging is configured separately.
Step-by-Step Instructions
Creating a new Job tag template
1. Open Job tag templates
Go to Settings → Manage job tags → Job tag templates.
2. Start a new template
Click Create Template. Choose a standard preset (voyage, vessel or broker fixture) if it covers your use case, or select build your own for a custom structure. Name the template after its use case, for example "Port Call".
3. Add attributes and set field types
Add one attribute per field you want to capture, for example Vessel Name, Appointment ID and Port, entering each name in Proper Case. Set each attribute's field type to free text or date picker, whether it's required, and its maximum character length. Job tag names can be a maximum of 50 characters.
4. Set the name format
Choose which attributes appear in the tag name and the order in which they appear. You can add a standard prefix or suffix to job tag names, such as "PREFIX" to identify manual job tags. Choose the separator between attributes (hyphen or slash) and whether to normalise all attributes to uppercase (recommended). A live preview updates as you build, so you can check it matches your naming convention before saving.
5. Set access and default teams
Choose whether all users can create job tags from this template, or only specific users or teams. If you select available to all teams, you don't need to set default teams. Otherwise, choose the team(s) that are pre-selected when a user creates a tag from this template; users can still add or remove teams on an individual tag.
6. Save the template
Click Create Template in the top right corner. Editing or deleting a template later doesn't affect job tags already created from it.
Deleting job tags
Go to Manage job tags in the bottom-left corner, then search for the job tag you want to delete.
In the top right corner of the job tag details drawer you will see a bin icon; click on this icon, and then confirm deletion. Deleting a job tag is permanent and cannot be undone.
Troubleshooting & Common Questions
| Question | Answer |
| Who can create or edit job tag templates? | Only users with the IT Support role. All users can create job tags from templates they have access to. |
| Will changing a template update job tags already created from it? | No. Existing tags keep their data when a template is edited or deleted. |
| Can I delete a job tag? | Yes, if you have the IT Support role. Deleting a job tag is permanent and cannot be undone. |
| Will my existing job managers move over automatically? | Yes. Your existing job managers will be created as job tag templates, and the existing job managers will be removed by the end of 2026. |
| Can I still ask Sedna to build or update a template for me? | Yes. Raise a support ticket if you'd like help building or adjusting a template. |
| Which attribute creates the vessel's asset tag? | The Vessel Name attribute. If you need a different label for that field, create it as Vessel Name, save the template, then edit the attribute's display name. |
| Does this affect auto-tagging? | Auto-tagging is configured separately. Work with your Implementation or CS team to make sure auto-tagging is configured appropriately for your teams. |
| Can I set up templates on mobile? | No. Templates can only be set up on web. Users can create job tags on web and mobile. |
Best Practices & Tips
- Check whether a standard template (voyage, vessel, broker fixture) covers your use case before building a custom one
- Use the live preview to confirm your naming convention before saving a template, as existing tags won't change if you update the format later
- Set default teams on each template so users don't have to select them every time they create a tag
- Coordinate with your Implementation or CS team when you change templates that auto-tagging relies on
Key Benefits
- Self-serve setup: Create and edit job tag templates and delete job tags directly, without raising a request to Sedna
- More control: Templates define attributes, the generated name format, and which teams have access by default
- Consistency: Standardised attributes support more accurate auto-tagging
